The Registration Helper assists participants to register. The Registration Helper is always at the assembly area to provide initial guidance to participants.
They perform the following main tasks:
- Setting up the registration table.
- Welcoming newcomers.
- Assisting participants with completion of the entry on the day form and payment.
- Introducing the clear-check-download process.
- Directing participants to the start and Event Coach.
- Checking in with participants after their course.
The Event Organiser may also be the Registration Helper.

Event Setup
Assist the event organiser in setting up the following:
- Registration table.
- ‘Newcomers welcome’/’Ask Me’ banner/s.
- Entry on the day QR code posters.
- Place the rental SI sticks (brought by computer operator) and rental compasses on the table.
Registration Procedure
Event entries can be made by Eventor prior to the event (via season pass registration or individual event entry), or via the QR code displayed at the event. All Eventor entries will already be loaded onto the event computer by the computer operator prior to the event.
Day entries can be made at the event via the QR code form. Separate cash/EFTPOS entries are not available.
QR Code Entry Process
- Participants scan the QR code using a smartphone or tablet. Any device can be used to complete any number of entries.
- The QR code leads to a webform which collects participants’ details, course selection, equipment requirements, and automatically calculates the applicable entry fee.
- Once the form is completed, participants are directed to make payment via a separate link to a payment processing page. Payment is made by debit/credit card, or by Apple/Android pay.
Participants must follow and complete the payment link, even if their entry fee is $0. Unpaid entries are not processed. If an entry cannot be found, please check with the participant that payment has been made.
QR Code Entries:
- Should be made before a participant starts their course.
- Can be made up to 12 hours before the event, before the event computer is running.
- Are imported to the event computer automatically every 10-20 minutes.
- Multiple entries can be made via the same phone, and any person’s phone can be used to complete another’s entry.
- Team entries are made by entering comma separated names to the entry form.
- Payment totals are automatically calculated and billed by the form, including any SI/compass hire and extra maps.
Assisting With QR Code Entries
Most QR code entries can be completed by participants without further assistance. The Registration Helper:
- Provides SI sticks and compasses for hire.
- Advises on course selection.
The most common issue arising from QR code entries are participants not following the payment link or not completing payment on the payment processing page.

- The clear-check-start-finish process.
- The importance of downloading at the event computer after returning from their course.
